Reporting Lines

The Asset Management Specialist will work under the overall supervision of the FAO Representative (FAOR) and the direct supervision of the Deputy FAOR.

 

Technical Focus

Accurate record keeping and management of FAO Afghanistan assets.

 

Tasks and responsibilities

  • Maintain full accurate records for FAO Afghanistan assets and shares the applicable reports on a regular basis;
  • In collaboration with respective colleagues manages the asset disposals, internal asset transfers, and change of custodian/location/project projects in accordance with FAO corporate procedures;
  • Using the appropriate tools assign barcodes and serial numbers/tags for all assets and ensure this is recorded (for non-expendable) in the GRMS Asset Registry;
  • Act as focal point and leads all reporting requirements in the case of loss or theft of any non-expendable assets;
  • Guide relevant colleagues involved in the purchase of assets to ensure the correct category and account code is used, and request corrective action as required;
  • Support with the planning exercise for the purchase of new assets in accordance with office and programme requirements and existing asset retirement timelines;
  • Conduct semi-annual physical verifications of assets in all FAO Afghanistan Office locations to verify the accuracy of the all asset records;
  • Perform any other related duties as required.

Job Requirements:

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

 

Minimum Requirements

  • Advanced (Masters) degree or University (Bachelor) degree in Business Administration, Supply Chain Management, Procurement or closely related field;
  • For advanced degree at least five (5) years of relevant work experience in asset or inventory management, administration, accounting, logistics, procurement or closely related area of work;
  • For university degree at least seven (7) years of relevant work experience in asset or inventory management, administration, accounting, logistics, procurement or closely related area of work;
  • Working knowledge (level C) of English and the local languages (Pashto and/or Dari);
  • National of Afghanistan.

Technical/Functional Skills

  • Familiarity with UN administrative, operational and financial procedures is a strong asset;
  • Strong record keeping skills and attention to detail;
  • Experience in managing asset records for a large office, and guiding colleagues on appropriate policies and processes is highly desirable;
  • Ability to organize and coordinate work – maturity, tact and high sense of responsibility, ability to work harmoniously with people of different national and cultural background;
  • Previous experience with the United Nations is considered a strong asset;
  • Strong professional command of Microsoft Office, in particular Word and Excel.
